• Account Information: When you register as a gym owner/operator, we collect your name, email address, and gym name. This authentication and onboarding process is securely handled by our identity provider, Clerk.
• Gym Member Data: To track payments, you enter member names, phone numbers (optional, for tracking), membership plans, start dates, and payment history (amounts paid, pending balances).

We do not process credit cards, bank accounts, or financial gateway transactions directly. All payment statuses recorded on Ledgrfit are inputted manually by the gym owner for tracking purposes.

2. How We Use Your Information

We use the information we collect in the following ways:

• To provide, operate, and maintain the Ledgrfit dashboard and features.
• To calculate monthly collected revenue, outstanding dues, and active memberships.
• To display member payment status (Paid, Unpaid, Partial) and send renewal alerts.
• To understand how you use our app and optimize layout and performance.
• To communicate with you regarding updates, technical notices, or support queries.

3. Data Security and Storage

Your security is paramount. Your gym and member data is stored securely in databases managed with robust security parameters.

• We implement standard encryption protocols (SSL/TLS) for data in transit.
• Access controls and database permissions ensure that only authorized accounts can query your gym records.
• We never sell, trade, rent, or distribute your gym or member data to third-party advertisers or data brokers.

4. User Rights and Data Control

We believe you should have complete ownership over your data:

• Access and Edit: You can view and edit any member details, plan settings, and payment details directly through the dashboard at any time.
• Data Portability: You can export your full member logs and dashboard reports to spreadsheet formats (Excel/CSV) from the application settings.
• Account Deletion: If you choose to delete your account or wipe your gym database, please contact support and we will process the removal of your records from our active databases.

5. Cookies and Analytics

We use cookies and equivalent local storage identifiers to keep you signed in and store layout preferences. We also use analytics tools (like Microsoft Clarity and Vercel Analytics) to track anonymous usage behavior to identify bugs and improve the overall app performance.
